Move your HubSpot email marketing to IGSendMail: export marketing contacts, unsubscribes and hard bounces, export your email designs, rebuild workflows, and keep opt-outs in sync if you keep HubSpot CRM.

This page moves your email marketing from HubSpot to IGSendMail. Many people keep HubSpot as their CRM and only move the email side; the guide covers both cases. Contacts, unsubscribes and bounces take about 20 minutes. Emails and workflows take longer, depending on how many you have.

Keeping HubSpot CRM?
Once your marketing email sends from IGSendMail, people will unsubscribe here, not in HubSpot. Unless you sync those opt-outs back, a sales email from HubSpot could reach someone who asked you to stop. Step 7 covers how.

Step 1: Set up your sending domain#
Go to Sending domains, add the domain you send from, and publish the DNS records it shows you. Authenticate your domain walks through each record.
HubSpot added two DKIM CNAMEs (named like hs1-…._domainkey and hs2-…._domainkey) and an SPF include. If you keep using HubSpot for sales or CRM email from the same domain, leave them in place. A domain may only have one SPF record, so add our include to the existing one rather than creating a second. Keep your DMARC record.
Step 2: Export your contacts#
You need Export permission in HubSpot.
Build a view of your marketing contacts
In HubSpot, go to CRM > Contacts and filter to contacts whose Marketing contact status is marketing contact and who are not Unsubscribed from all email. Non-marketing contacts can't be sent marketing email in HubSpot, and they shouldn't be here either.
Export
Click Export, choose CSV, and include the properties you need: at least email, first name and last name, plus any property you use for personalization or segments. Adding Marketing contact status and Unsubscribed from all email columns lets you double-check the file.
Download it
HubSpot emails you a download link. It lasts 30 days, and files over 2MB arrive zipped.
Step 3: Import your contacts#
Create the list and its fields
Go to Lists and create a list. Add a field under ListsFields for each property you exported, such as company, lifecycle stage or industry, so you can build segments on them here.
Import and map
Import the file and map each column to its field. Import contacts covers the mapping screen and the import summary.
Plan size
The Free plan holds 2,500 contacts. Every paid plan has unlimited contacts, so if your list is bigger than that, choose a paid plan before you import.
Step 4: Bring your unsubscribes and bounces across#
- Unsubscribes. In CRM > Contacts, filter on Unsubscribed from all email is true and export. If you use subscription types, also export anyone opted out of the types you'll send from IGSendMail (the Opted out of email: … properties).
- Hard bounces. Go to Marketing > Email, open Email tools, and choose Create segment of hard-bounced contacts. Export that segment.
Go to Blacklist and import each file. The Blacklist import reads the email address from the first column, so move the email column to the front first if it isn't there already.
Don't skip this. Emailing someone who unsubscribed from you in HubSpot earns spam complaints and may break the law. Blacklisted addresses are never emailed, from any list. Blacklist and suppression explains how it works.
Step 5: Move your email designs#
Marketing emails. Open the email in HubSpot and choose File > Export email design (for a draft) or Export > Export email design (for a sent email), then pick HTML. In IGSendMail, create a new template, choose your own HTML, and paste it in. HubSpot fills personalization tokens with one contact's values or their defaults when it exports, so check the greeting and any personalized lines.
Coded templates from the Design Manager have no export in HubSpot's app. Open the template, copy its code, and paste that in, or rebuild the email in the email builder.
Then replace HubSpot's tokens. {{ contact.firstname }} won't work here; insert tags with the editor's personalization control, as described in Personalization tags. Remove HubSpot's footer and check yours has an unsubscribe link and your postal address.
Step 6: Rebuild your workflows#
HubSpot workflows can't be exported to another platform, so each email workflow is rebuilt by hand. To document one, open it and choose File > Export as .PNG, then note each email and the delay before it, and any if/then branches.
Then build it under Automations. A HubSpot form submission or list membership trigger becomes a list or tag trigger here; see Triggers and timing. Switch each automation on here only when you switch the HubSpot email steps off, so nobody gets the same email twice.
Step 7: If you keep HubSpot CRM#
- Send opt-outs back to HubSpot. Set up an IGSendMail webhook for unsubscribe and bounce events, and have it update the contact in HubSpot (for example, set Unsubscribed from all email). A developer or an integration tool can do this in an afternoon.
- Send new signups here. HubSpot forms keep adding people to HubSpot only. Replace your marketing signup forms with an IGSendMail form, and use the subscribe webhook if you also want them in HubSpot.
- Keep the sending records HubSpot needs for sales email, as noted in step 1.
Step 8: Before your first send#
- Verify the list. Old lists always contain dead addresses. Run email verification before your first campaign.
- Start with your most engaged people. Your domain is new to our servers, so send to recent openers first and build up over a week or two. Warm up a new domain has a schedule.
- Then downgrade Marketing Hub, once your first IGSendMail campaign has gone out and your forms point here.
