Move from Zoho Campaigns

Export your Zoho Campaigns contacts, unsubscribes, bounces and Do-Not-Mail registry, download your campaign HTML, rebuild your workflows, and disconnect Zoho CRM sync.

This page takes you from Zoho Campaigns to a working IGSendMail account. Contacts and suppressions take about 20 minutes. Email designs and workflows take longer, depending on how many you have.

Do it in this order

Set up your sending domain first, because DNS changes can take a few hours. Keep Zoho Campaigns running until your first IGSendMail campaign has gone out, so there's never a gap.

Step 1: Set up your sending domain#

Go to Sending domains, add the domain you send from, and publish the DNS records it shows you. Authenticate your domain walks through each record.

Zoho had you add an SPF include (include:zcsend.net, or the EU, Australian or Indian version) and a DKIM record ending in ._domainkey. A domain may only have one SPF record, so add our include to the existing one rather than creating a second. Once Zoho Campaigns has sent its last email, remove Zoho's include and DKIM record. Keep your DMARC record.

Step 2: Export your contacts#

Export list by list

In Zoho Campaigns, go to Contacts > Manage Lists, hover over a list, open its More menu and choose Export Contacts. Exporting each list separately keeps track of who was on which list. If you only have one list, you can export everything from Contacts > All Contacts > More > Export Contacts instead.

Choose fields and format

Choose all fields (or at least email, first and last name, and anything you personalize with), choose .csv, and export. The file downloads straight away. Leave the password option off, or you'll need to remove it before importing.

Step 3: Import your contacts#

Create the list and its fields

Go to Lists and create a list. Add a field under ListsFields for each field you exported. If you exported several Zoho lists, either create a list for each or add a text field for the list name.

Import and map

Import each file and map each column to its field. Import contacts covers the mapping screen, duplicates and the import summary.

Plan size

The Free plan holds 2,500 contacts. Every paid plan has unlimited contacts, so if your list is bigger than that, choose a paid plan before you import.

Step 4: Bring your suppressions across#

Zoho keeps these in three places:

  1. Unsubscribed contacts: in Contacts > All Contacts, filter to Unsubscribed Contacts, select them and export.
  2. Bounced contacts: in All Contacts, choose the Marketing Contacts filter, then Bounced Contacts, select them and use More Actions > Export.
  3. The Do-Not-Mail registry: people who unsubscribed from your whole organisation, and people who reported spam, are here. Export it from the Export Contacts screen by choosing the Do-Not-Mail contacts.

Go to Blacklist and import each file. The Blacklist import reads the email address from the first column, so move the email column to the front first if it isn't there already.

Don't skip this. Emailing someone who unsubscribed from you in Zoho earns spam complaints and may break the law, and emailing addresses that bounced damages your sender reputation. Blacklisted addresses are never emailed, from any list. Blacklist and suppression explains how it works.

Step 5: Move your email designs#

In Zoho Campaigns, go to Campaigns > Email Campaigns, open a campaign, and choose More > Download HTML. When it's ready, the bell icon shows a Download Now link. In IGSendMail, create a new template, choose your own HTML, and paste it in.

Check the images once it's pasted in. If they still load from Zoho's servers, download them and re-upload them, because they'll stop loading once you close the Zoho account.

Then replace Zoho's merge tags. $[FNAME]$ and $[FNAME|Customer|Guest]$ won't work here; insert tags with the editor's personalization control and set a fallback, as described in Personalization tags. Check the footer has your unsubscribe link and postal address.

Step 6: Rebuild your workflows#

Zoho Campaigns workflows and autoresponders can only be cloned inside Zoho, so each one is rebuilt by hand. Before you start, open each and write down what starts it, each email and the wait before it, and any branches. Download each email's HTML while you're there.

Switch each automation on here only when you switch the Zoho one off, so nobody gets the same email twice.

Step 7: Before your first send#

  • Verify the list. Old lists always contain dead addresses. Run email verification before your first campaign.
  • Start with your most engaged people. Your domain is new to our servers, so send to recent openers first and build up over a week or two. Warm up a new domain has a schedule.
  • Replace your signup forms with an IGSendMail form, or new subscribers will keep landing in Zoho.
  • Using Zoho CRM? Disconnect the Zoho CRM sync in Zoho Campaigns so CRM stops feeding contacts into it. If you want new IGSendMail subscribers and unsubscribes in Zoho CRM, send them with webhooks.
